Membership Cancellation and Refund Terms

Below are the conditions that will regulate the membership cancellation and possible refund processes in Nar-Club:

  • Mandatory Written Cancellation Request:
    • All membership cancellation requests, regardless of the reason or timing, must be submitted to Nar-Club in writing. This formal requirement serves many purposes:
      • It creates a clear, irrefutable record of the date and content of the request.
      • It helps to avoid misunderstandings that can arise from verbal requests.
      • It facilitates an organized and efficient review process by the club management.
    • The written request should ideally include the member’s full name, membership number (if applicable), contact details, the date of the request and a detailed explanation of the reason for the cancellation, together with any supporting documentation.
  • Initial Return Period (14 Days):
    • Full refund of the membership fee is only possible if the cancellation request is made within fourteen (14) calendar days from the original date of the membership payment. This period is critical in terms of the withdrawal period in line with consumer protection principles.
    • After the expiration of this fourteen (14) day period from the date of membership payment, no refunds will be issued under any circumstances without valid and acceptable justification as detailed below. This means that once the 14-day window closes, the membership fee becomes non-refundable unless certain criteria are met.
  • 14 Days Cancellation Requirement for Cancellations Exceeding 14 Days:
    • For any membership cancellation request that exceeds the initial 14-day refund period, the member must provide a valid and justifiable reason for the request.
    • Examples of reasons that may be considered valid may include, but are not limited to:
      • Documented health problems: This usually refers to medical conditions that prevent the member from participating in club activities or effectively maintaining membership. Supporting documentation such as a doctor’s certificate may be requested.
      • Approved change of residence (relocation): If a member moves to a location that makes it impractical or impossible to continue Nar-Club activities, this may be considered a valid reason. Proof of new residence (e.g. utility bill or rental agreement) may be required.
    • These examples are illustrative and the final determination of a “valid reason” rests with the Nar-Club management.
  • Club Review and Approval Process:
    • Any reason submitted for membership cancellation will be subject to thorough review and approval by Nar-Club management. This process aims to ensure fairness and consistency in the evaluation of cancellation requests.
    • A refund of the unused membership period will be processed only after Nar-Club has officially reviewed and approved the reason stated as the reason for cancellation, if it is deemed appropriate under these special terms and the reason is approved. This step emphasizes that the refund decision is not automatic and requires an internal verification.
  • Cancellation of membership, refund:
    • The amount of the refund is calculated on the basis of the dues paid:
      • taxes paid to the state,
      • membership registration fees and expenses,
      • the amount for the time used from the date of the first dues payment until the date of cancellation and
      • expenses incurred for cancellation procedures are deducted;
    • The payment of the refund fee is made as EFT / money order to the bank account to be notified in writing by the member.
